Viventium Software is seeking a resourceful, self-sufficient and self-motivated Sales Coordinator/Admin and Project Specialist to support our elite sales team and work closely alongside our Implementation & Tax departments (responsible for new client set-up). Must be self-managed and independent. This role is responsible for providing a wide range of sales administrative support, requires a high level of attention to detail, organization skills and a strong proficiency in Microsoft Excel.
Manages new client intake following the Sales process
Responsible for the distribution and review of new client paperwork (i.e. sales orders) for proper format and completion to ensure the integrity of the intake process is adhered to and upheld prior to submission
Identifies possible errors in client paperwork, effectively communicates and/or escalates to the proper parties (i.e. Sales Reps, Clients, Implementation + Tax partners) to resolve as needed (i.e. resource coordination)
Works closely with Implementation to ensure sales orders are closely reviewed and distributed to appropriate team members in a timely fashion
Communicates regularly with Sales Representatives on the status of projected orders
Responsible for the tracking and reporting of all order status’ to management
Proficiencies in various software applications, such as Excel Spreadsheets, Salesforce (CRM), DocuSign, GoToMeeting, HubSpot (CRM) and external HCM/payroll applications (i.e. ADP Workforce Now, ADP RUN, Paychex Flex, QuickBooks/Intuit, etc.)
Conducts data manipulation in Excel after exporting from client’s prior vendor/system to utilize skills such as: v-lookups, string/text formatting, if/then statements and truncation/combination techniques
Prioritizes workload to achieve both client and internal deadlines
Exercises administrative judgment and assumes responsibility for decisions, consequences, and results that may impact costs, and/or quality of service
Maintains strict confidentiality of sensitive client data
Who we are Looking for:
Bachelors Degree highly preferred; Min Associates
2-4 years experience within a similar role such as a Project Coordinator or Project Admin, Sales Coordinator, Admin Asst, Sales Admin or any role that requires leadership, a self starter, high attention to detail and organization with superior communication skills to face off to internal and external clients
Advanced knowledge of MS Office Word and Excel (ability to manipulate and extract data, vlookups, etc.)
Demonstrates excellent interpersonal and communication skills with a talent for client service
Must have strong client support orientation (for internal/external clients), demonstrated professional demeanor, and the ability to maintain confidential information
Proven ability to manage multiple conflicting projects and deadlines
The ability to work face off to other departments at all levels from non-exempt up through executive level management
